Sequence of events for someone joining the email list
New submission from User1 to join the LCTG email list
- User1 sends email to LCTG-subscribe@toku.us
- User1 includes full name, town of residence, brief self-introduction and interest in the group, and topics of interest to present or share at a group meeting
- The system receives the email from User1 and responds by sending two emails to system admins and moderators:
- first: notifying them about User1’s join request and providing a link back to the system to defer, approve, reject, discard or ban the join request
- second: includes User1’s responses to the request for introductory information, hopefully including full name, town of residence, brief self-introduction and interest in the group, and topics of interest to present or share at a group meeting
- Check your email spam folder for the email from User1 with his introductory information because it might not be delivered to your inbox
- Systems admins and moderators respond by
- Reviewing User1’s introductory information and then verifying that via a Google search, LinkedIn, etc.
- Once the above step is completed the decision is made to either
- Approve
- Reasons to approve are
- User1 introductory information can be verified via a Google search, LinkedIn and other online resources
- When ready to approve send an email to admins/moderators indicating that after due diligence User1 introductory information looks good
- Approve User1
- User1 is added to the group email list
- the system sends out an email notice of this to User1 and the admins/moderators
- (Done)
- Reject (should not be done as if it's a spam subscribe it tells the sender the address is valid)
- Defer (should not need to be done)
- Discard
- User1 introductory information can’t be verified via a Google search, LinkedIn and other online resources
- In which case User1 is not added to the group email list at this time, leave as pending
- Tell other admins/moderators the results and that a reject is pending, maybe admins/moderators have suggestions on actions to take
- If admins/moderators say to discard, then discard
- Maybe send followup email asking for more information or justification why they should be added
- If followup email fails to produce verifiable information, then discard
- Permanently ban from this list
- Reasons to consider a permanent ban are…
- User1 is known to be a person we do not want to be on the list
- User1 is obviously a spam address
- In which case, tell other admins/moderators the results and plans to ban User1
- Wait for confirmation from at least one other admin/moderator
- After get confirmation, ban User1
- When working on a new person to approve it is a good idea to let the other admins and moderators know that you are working on it
- If you have any questions about approving/not approving the new person you should check with the other admins and moderators to get feedback and ideas on how to proceed
